Document Tracking

In a busy construction company, information flies around between key players on any given project. Document tracking is essential to the success of the project.

Success depends on:

  • insuring that you are purchasing the right electrical fixtures to meet the architect's/code's specification
  • verifying that everyone has received and is working with the current version of project drawings
  • issuing a change order for additional work that needs to be done

This information must be documented and tracked for any questions that arise. You also must be able to document that the appropriate follow-through was done.

Follow through examples:

  • did the architect approve the electrical fixtures
  • did everyone confirm receipt of the current drawings
  • did the change order get approved

ComputerEase Correspondence Log solves document tracking issues. You can log and track all of your essential documentation, such as RFIs, transmittals, submittals, meeting minutes and change orders. It's easy to see what needs your prompt attention by simply viewing your log of pending items.

Your documentation is more organized and your bottom line will see the difference too!

Document tracking ensures:

  • Unapproved or unissued change orders will not slip through the cracks
  • Work will not commence with materials that have not been approved

Effective document tracking saves time, effort and money.

"ComputerEase makes that very easy"

Tom Moore

One of the things that we do is we provide submittal process where we can ask the subcontractor for that particular uh, item that we need approved and track whether he's sent it back to us or not. Then we can track when we sent it in to the owner, general contractor or architect for approval and whether it came back approved or whether it needs to be revised. So that's a big process that's very time consuming, and typically it's done with spreadsheets and Word documents and things like that. And it's much easier to do when it’s built into the system. Also, there's other things, like job photos, daily job reports, that might need to be stored in a way that the project managers can have access to those documents, and ComputerEase makes that very easy.

I can use the job center, I don't have to talk to a project manager because everything has been loaded in from their side from the accounting side, to a merge there, and I go to certain tabs, especially the breakdown tab, and it will tell me if over budget, under budget, and the main thing I'm looking for is the hours, if they're in line. And then we also have, one of the other uh, shareholders has a large board where they track hours on all the, because he runs all the field people. So I can compare those hours to what's in ComputerEase to make sure that the information that we're being given is being updated by the project managers.
